How to organise emails into a clear evidence timeline

A practical guide to sorting email correspondence, preserving context and building a timeline you can review.

Start with original messages

When important conversations span months or years, collecting screenshots alone can hide dates, recipients and earlier replies. Start from the original messages and keep their attachments together.

Preserve sender, recipient, subject and time information. Keep a copy of the original source so that a later summary can be checked.

Group correspondence by issue

A single conversation can cover more than one issue. Assign an issue or topic to each relevant message, then order the messages chronologically.

Look for unanswered questions, changed commitments and gaps. Avoid assuming that a missing reply proves anything by itself.

Create a reviewable timeline

Use short factual descriptions for each event and link every description to the supporting email or document.

A useful timeline lets another reader move from an event summary to the original source without searching through an inbox.

Review before sharing

Check dates, time zones, quoted text and attachment names. Remove unrelated personal information where appropriate, and consider whether the recipient needs all the source material.

MailTrace is designed to help organise correspondence into source-linked evidence and timelines, while keeping the final interpretation with the user.
