How to find important emails across long conversations

Learn how to search long email threads, narrow correspondence by date and subject, and avoid losing key context.

Search beyond one keyword

Important messages are not always worded consistently. Search for names, project terms, dates, distinctive phrases and attachment names.

Check variations in wording and spelling, and use date windows to narrow very large mailboxes.

Keep the surrounding thread

A relevant message can be misleading when separated from the question it answers. Read the surrounding replies and check whether another part of the conversation changes the meaning.

Record the sender, recipients and date of each message you select.

Separate findings from conclusions

An email can establish what someone wrote at a specific time; it may not establish why they wrote it. Label direct evidence separately from interpretation.

For each significant finding, retain a path back to the original correspondence.

Make repeated searches easier

Organise search results into named topics or cases instead of repeating the same mailbox search. MailTrace brings relevant correspondence and source references into a reviewable workspace.
